LOAD-IN & LOAD-OUT INSTRUCTIONS:
Please read the following carefully:

Food, Alcohol, and other Contractors may arrive as early as 9 am.

All other sponsors, vendors, and nonprofits (collectively "Vendors") may start arriving at 10:30 am.

All vehicles must be off the Festival Grounds by 11:30 am, no exceptions.

Only 1 vehicle permitted per vendor. Park next to your site. Do not block the through lanes.

Unload at your site then park in the vendor parking area before setting up.

At 6:15 pm, vehicles may reenter the field the same way they arrived to pack up and leave.

Please enter/exit through the Ida Lee Festival Parking entry gates (See signs). Volunteers will guide you all the way! Please know your site number.

SITE LAYOUT
Our site is very different this year!

When arriving, please follow all volunteer instructions and know your site number.

If you have any questions, please visit the Information Tent.

Absolutely no parking anywhere except the designated vendor parking area, limit to one vehicle!

Sponsors will be in Row A & B. Each site will have a 10 x 10 tent, 6 foot table, and 2 folding chairs.

Vendors are going to be located in Row C (Business) and Row D (Craft & Merchandise).

Nonprofits are located in Row E (Faith & Others) and Row F (LGBTQ+ and Others).

Vendors and nonprofits will be provided with a 6-foot table, only. Please bring chairs and tents.

All sites will have the front boundary marked by flags, please align to the front of your site.

Each row is labeled 1 through 20. Your site assignment has a Row and Number, such as C15. This label will be printed on your table.

Special vendors will be assigned Row H, which is on the far side of the festival field.

Food trucks will be in Row G and loaded in one at a time to provide adequate spacing. Please arrive early to allow for setup.

FREQUENTLY ASKED QUESTIONS

Do we need tickets?
-
Anyone arriving before 11:30 am for setup does not need tickets. We are not providing wristbands this year. Anyone arriving after 11:30 am must have a ticket and enter through the main entrance. Use code ​'LOVEWINS2025' on our ticketing platform. We recommend groups DO NOT purchase group tickets, as anyone entering will need the ticket upon their arrive. For this reason, please purchase tickets separately.

Are water or refreshments provided? Can we bring our own?

If, at anytime, anyone in your team is need of food or water for medical reasons, please come visit us at the medical tent. Otherwise, PFLAG Loudoun (local charity) will be selling $1 water bottles. We do not wish to detract from this fundraiser, so we will not be providing any to vendors and nonprofits. We will have plenty of food options on site. Otherwise, you are welcome to bring a small bag or cooler and snacks for your team. Please, do not sell or share with the general public to ensure we're not violating local laws.

What should I bring?

We highly advise you bring sunscreen, hats, or some form of shade. We are in a large open field.
